Position Description:

Develop, direct and coordinate activities for multiple pathways to initial teacher certification through the Urban Teacher Residency and Alternative Certification programs. Provide admission processing and counseling for MAT program applicants.

Coordinate the operational activities of the programs including the transcript review process, certification paperwork tracking, track of cohort milestones, assist with student cohort registration, serve as the main point of contact for these programs, coordinate fiscal activities for the programs including travel, university supervisor pay requests and contracts along with monitoring budget expenditures. Serve as liaison with various recruitment organizations, and school districts, specifically JCPS and other OVEC districts, while coordinating meetings and special events, and monitor service accounts.

The Urban Teacher Residency and Alternative Certification programs are critical in supporting the enrollment of the EMSTEd Department and Graduate CEHD programs. These programs support over 100 graduate students per year in addition to over 100 prospective students in various stages of admission.

Dual Credit:

Provide leadership and direct the CEHD dual credit program including activities related to teacher recruitment, high school dual credit student admission and registration, and evaluation, continuous improvement, and growth of the program.  Participate in UofL CEHD activities and events through engagement with schools, through dual credit initiatives.  Create strategies to engage high schools across Kentucky in the participation of the CEHD's new dual credit program.  Assist with other related admission and P-12 - UofL dual credit program responsibilities.  Liaison with University UG admissions related to the program.  Lead efforts, working with UofL and CEHD administration, CEHD Office of Academic Affairs and Unit Effectiveness, CEHD Teaching and Learning Faculty, and the CEHD Education Advising and Student Services Office on diversity initiatives in teacher education program improvement, through collaboration with the Minority Teacher Recruitment Project (MTRP) and in STEM initiatives (both are CAEP and EPSB-submitted enrollment management growth plans).  Ensure the accountability and continuous improvement of data collection for the dual credit program to meet accreditation standards and the CEHD's Scorecard goals.  Attend and present at state and district meetings on dual credit program initiatives

Essential Duties and Responsibilities

Coordinator:

  • Provide support for the Urban Teacher Residency and Alternative Certification programs. Duties/responsibilities include, but are not limited to: day-to-day support and assistance to the Director of Multiple Pathways for Teacher Certification and teacher candidates (e.g., providing assistance in navigating state licensing issues)
  • Process graduate education applications including: collection, tracking and processing of student credentials; correspondence with applicants; and communication with CEHD faculty and UofL Graduate Admissions. Communicate with prospective graduate students regarding admission deadlines and requirements, policies, and procedures. Develop, manage, and support students and faculty using various electronic systems in support of the admission process. Create and maintain electronic student files as well as admission spreadsheets, and monitor service accounts.
  • Develop and implement policies and procedures relating to program administration for multiple pathways of teacher certification. Coordinate operational activities including the transcript review process, cohort application and admission, certification paperwork, mentor assignments, and tracking of cohort milestones. Provide assistance to student cohorts with registration and assign advisors in Peoplesoft. Serve as main point of contact for Residency and Alternative Certification cohorts.
  • Develop and coordinate fiscal activities including supplier onboarding, travel, university supervisor pay requests and contracts. Prepare program budgets and monitor expenditures.
  • Prepare and maintain financial, academic and other administrative databases and reports. Create and maintain student electronic files.
  • Liaison with associated University departments, community groups (such as Teach Kentucky, JCPS and OVEC school districts) and agencies (such as KDE). Assist with recruitment activities, coordinate meetings and special events, and monitor service account.
  • Assist with the coordination and scheduling of interviews for the Urban Teacher Residency and Alternative Certification programs throughout the year. Attend all scheduled interviews.
  • Assist in cultivating positive relationships with program partners.
  • Assist in recruitment efforts, including logging and disseminating transcripts for faculty review.
  • Provide fiscal support for the program. These duties/responsibilities include, but are not limited to: assistance with supplier onboarding, travel and expense, pay requests and contracts, and budget development.
  • Perform related duties as assigned.
Dual Credit:
  • Communicate verbally and via email to representatives of school districts, high school teachers (instructors), high school counselors, high school students, high school students' parents, U of L Admissions Office staff, U of L Registrar's Office staff, the T&L Pathway Instructor Coordinator, the CEHD faculty liaisons to the T&L Pathway, staff in the office of Undergraduate Advising and Student Services, CEHD Dean's Office staff, vendors, University personnel regarding logistics, event reservations and needs.
  • Update the Student Information Guide annually, share it with instructors and students, and post it on the CHED webpage:  Louisville.edu/education/dual credit
  • Update instructions to high school teachers regarding student admission to the Pathway
  • Prepare marketing materials to send to high schools to advertise the T&L Pathway and order giveaways.
  • Process student's applications and verify admissibility
  • Coordinate the Campus Preview Day Events (work with Communications Coordinator, the Admissions Office, and the T&L Faculty Liaisons)
Preferred Qualifications
  • Preferred candidates will possess excellent organizational and communication skills, detailed oriented, good interpersonal skills required to work with students and faculty, and experience working with student related data.  Must be proficient in the use of PeopleSoft or other student records system, Microsoft Word, Excel and Outlook.
  • Two-three years of experience in a higher education or university setting
  • Two-three years of experience in an office environment coordinating office functions
Competencies
  • This position is an integral component of the EPSS team supporting student enrollment in programs for both the SECP and EMSTEd Departments. This position supports student populations and performs detailed tasks related to admission, program budget and financial awards. 
  • Technical Ability- Requires extensive knowledge of policies, procedures, teacher education program requirements, CEHD Scholarships, and financial award processes. Requires the ability to navigate and use a variety of electronic systems including Peoplesoft student services and financial systems.
  • Communication - This position requires frequent contact with students, departmental faculty and staff. Excellent oral and written skills are essential.
  • Customer Relations - Responsiveness and follow up are essential components of the position due to frequent e-mail and phone conversations with applicants, and periodic student service deadlines. This position requires a person who is able to explain complex policies and processes, program options, and financial support opportunities.
  • Organization - This position requires effective time management, the ability to work within deadlines, continuous student data tracking through the use of spreadsheets, and follow-up. Organization is the key to this position as the deadlines are constant and continuous, and the program population is increasing. Students rely on admission and financial award posting to be done efficiently and accurately. 
Compensation will be commensurate to candidate experience.
