School of Public and Community Health Sciences

invites applications for an

Administrative Associate IV

This position is part of the

Montana Public Health Training Center (MPHTC)

, and provides high-level administrative support to a diversity of internal and external public health staff and professionals across Montana. This position will have moderate autonomy and decision-making authority and will report directly to the MPHTC director.

Key administrative support duties include, but are not limited to:

Facilitating public health training events through the MPHTC (online and in-person)

Managing MPHTC outreach, including the MPHTC email account

Overseeing a diversity of budgets that are reconciled or managed on a day-to day basis by others

Preparing and analyzing complex reports

Conduct all evaluation activities for trainings

Maintain responsibility for all record-keeping activities

Maintain responsibility for progress reports to funding agencies

Arranging functions with complex or unusual details

Conducting research

Making complex departmental decisions for the MPHTC

Upon completion of training, this position requires incumbent to develop a working knowledge of:

Public Health practices and history in Montana.

Public Health and Healthcare organizations in the state and region.

Current workforce status and future plans.

Best-practices related to delivery of public health trainings.

Required Skills

High capacity to multitask, organize, prioritize, and attention to detail.

Effective at maintaining public relations

Interpersonal and communication skills, including the ability to work with diverse groups of individuals including: other administrators, faculty, staff, students, other organizations, and public health/healthcare professionals

Provide positive professional customer service through face-to-face, phone, and email interactions.

Experience and knowledge of Microsoft Office applications including Microsoft Outlook, and the ability to learn and work in multiple computer systems simultaneously.

Ability to work independently or within a team environment.

Ability to collaborate across the college and university

Working knowledge and ability to use office equipment, including fax machines and printers

Excellent decision making and problem-solving abilities

Ability to develop business processes, such as to simplify and streamline processes in an effort to maximize efficiencies

Minimum Required Experience

Bachelor’s degree and at least two (2) years of professional experience working in an office environment; or any combination of experience and education that would provide the competencies required to successfully discharge the essential duties assigned to this position.

Preferred Qualifications

Experience working in public health (health departments, healthcare, academics, and/or nonprofits).

Experience with adult learning and curriculum creation.

Experience with online learning platforms.

Experience with event planning.
