Job Description:

The Washington Academy of Languages World Languages Program is looking for a qualified Program Assistant to join its team.

School Description:

The Washington Academy of Languages (WAL) provides English and world language training to students interested in learning a language. It is a division of City University of Seattle and its mission is to promote cross-cultural understanding through language instruction and teacher training.

WAL offers a premier English Language Program (ELP), 10 world languages and graduate TESOL certificate.

Job Summary:

Coordinates and supports Washington Academy of Languages (WAL) programs including classroom and off-site delivery systems. Participates as a team player in keeping daily operations running smoothly and efficiently for Washington Academy of Languages.

Essential Duties and Responsibilities

Responds to prospective and current world languages students' inquiries. Coordinates student placement activities with administrative faculty and notifies students of class level options.

Collects tuition and fees, as needed, and posts to accounts following all appropriate payment processes and procedures for WL classes.

Enters all World Language registrations into PeopleSoft. Confirms all registrations and class levels.

Maintains student databases for world languages, which includes but is not limited to: inputting and tracking of prospective students and data reporting activities.

Assists with reviewing monthly payroll reports.

Coordinates custom and corporate language programs for WAL.

Works with Registrar's Office staff to ensure WL class information is archived correctly.

Assists WAL team with logistics, event preparation, and general department process support.

Other Duties and Responsibilities:

Collaborates with marketing and communications department on WAL specific campaigns.

Ensures WAL's web pages are current and up-to-date.

Actively promotes WAL programs through coordinated mailings/emails and use of social media.

Administers end of course evaluations (EOCEs) for world languages.

Supports Associate Director of World Languages with various administrative tasks related to faculty onboarding.

Other duties as assigned.


Minimum Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Bachelor's degree.

Minimum two years general administrative support experience, preferably in a college setting.

Must demonstrate a high level of customer service, attention to detail, and organizational and problem-solving ability.

Ability to maintain a high level of discretion and confidentiality.

Ability to perform job duties with moderate supervision, effectively prioritize work, multi-task and adjust to changing workloads and deadlines.

Ability to read and interpret documents such as operating instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively with diverse student, staff and faculty populations.

Proficiency with MS Office products; SharePoint, PeopleSoft, and WordPress knowledge preferred.

Salary information:

This is a 0.5 FTE (20 hours/week), non-benefitted position. Hourly wage is $18 -- $21 DOE.
