SCOPE OF WORK:
The
Lead Administrative Assistant is responsible for supporting the Student Support Services leadership team with clerical and administrative oversight.
Under the direction of the Director of Student Support Services, the
Lead Administrative Assistant will coordinate and attend meetings, prepare agendas, implement systems, direct staff and parent requests, and serve primarily to support the Director with his/her oversight of the larger team.
The
Lead Administrative Assistant will also work to lead the team of administrative assistants whose work aligns with policies and procedures laid out by the district and SSS leadership team.
The
Lead Administrative Assistant will lead the work of creating systems and tracking the progress of the larger SSS team.

Support the Student Support Services leadership team with clerical and administrative oversight
Support director with procedural and substantive compliance with state and federal reporting requirements, including special education and section 504 laws by liaising with special education staff and preparing agendas for director and principals
Join meetings with director and other stakeholders in order to prepare notes and ensure follow up
Oversee reporting systems in the district regarding IEP development and implementation,
Leads State & Federal monitoring and data collection in assigned areas
Maintains an adequate level of knowledge regarding developing special education issues, changes in the laws, and educational methods of teaching students with disabilities, for the purpose of supporting leadership to manage effective special education programs in district schools,
Prepare agendas for regular procedural compliance reviews each school
Oversee collaboration with outside providers to secure contracted services and track those services in a manner that supports the director and principals.
Work to lead a team of administrative assistants and propose professional development opportunities for those staff as appropriate
Lead regular meetings of administrative staff who work to stupor the SSS team
Create systems and track the progress of work on requests from staff and families
Provide and/or assist in providing professional development activities in order to increase knowledge and skills of administrative staff,
Discuss with the director any gaps or weaknesses in meeting the needs of students with disabilities with regards to the work of administrative assistants
Assist the director in District-wide program planning including new, improved, or expanded Special Education programs, roles or services to ensure students with disabilities are provided a free appropriate public education in the least restrictive environment including:
Support with conducting workload analysis of caseloads,
Support with reviewing schedules of certified and non-certified special education personnel,
Support with preparing reports and recommendations to improve the provision of special education
REQUIRED QUALIFICATIONS:
Education
Minimum Required: Associate Degree with certifications and advanced training
Certification Preferred: N/A
Experience:
Minimum Required:
At least 2 years experience as a special education paralegal, admin assistant, or other clerical positions

Working knowledge
Sufficient familiarity with the subject to know basic principles and terminology and to understand and solve simple problems.
General knowledge
Sufficient knowledge of a field to perform most work in normal situations. The work calls for comprehension of standard situations and includes knowledge of most of the significant aspects of the subject.

Advanced knowledge of the subject matter. The work calls for sufficient comprehension of the subject area to solve unusual as well as common work problems, to be able to advise on technical matters and to serve as a resource on the subject for others in the organization.
