The College of Law seeks an Executive Assistant, an upper-level administrative position reporting directly to the Dean of the College of Law. The Executive Assistant performs a variety of highly responsible, confidential, administrative, and clerical duties in support of the Dean and other senior staff, as needed, to advance the mission of the College of Law.

DUTIES MAY INCLUDE, BUT ARE NOT LIMITED TO:

*Perform administrative staff  functions  for  the  Dean  of  the  College of Law,  frequently  of  a confidential and complex nature.  *Direct, plan and manage the daily business for the Dean’s office. Prepare Dean’s schedule by developing and compiling necessary background materials. Establish and maintain master schedule for standing meetings with the Dean. *Oversee the Dean’s calendar, including monitoring and reviewing requests for meetings, public appearances, and setting appointment priorities.

*Serve as a project manager on behalf of the Dean, facilitating and coordinating initiatives and programs at the College of Law, as well as between the College and the University, other academic units, among others. Maintain status of all projects, items requiring review or signature by the Dean, help prepare correspondence, as well as materials for public appearances and meetings. *Draft and synchronize communications from the Dean for internal and external audiences across multiple platforms. *Serve as the key liaison to the Development staff for preparing for donor meetings and events, as well as assist in alumni engagement efforts, acknowledge gifts, and help coordinate events with College faculty, centers, and institutes. Coordinate or draft external communications for review and approval by the Dean.

*Gather and evaluate information to assist Dean in determining priorities and advance the College’s goals. *Coordinate arrangements for meetings, including but not limited to preparing agendas, notifying faculty and guests; communicating with faculty committees; distributing and maintaining records of meeting materials; taking and transcribing meeting minutes; and arranging for meeting space, A/V and catering. *Act as liaison with University offices, as well as the College of Law’s Board of Visitors, key alumni/ae, current and prospective College benefactors, and other external stakeholders on behalf of the Dean with the highest level of professionalism. Arrange individual and group meetings between the Dean and current students. *Provide front-desk reception in the Dean’s suite; answer telephones, make appointments, and greet visitors; maintain inventory of office supplies.  *Receive and reconcile expense statements.  Coordinate travel arrangements and related meeting requirements (e.g., prepare expense claims and verify expenditures comply with State and University guidelines).

MINIMUM QUALIFICATIONS

*Bachelor's degree with three (3) years’ experience; -OR- Associate's degree with five (5) years’ experience; -OR- seven (7) years’ experience. Degree must be in Business Administration or related field. Experience must be related. Experience may also require at least one (1) year supervision.

Other Qualifications

*Outstanding written and oral communication skills in English. *Excellent administrative and organizational skills, including the ability to plan, manage, and execute projects and events from inception to completion with keen attention to detail under minimal supervision. *Sound knowledge of principles, methods and practices of electronic and hard copy record keeping and report writing. Knowledge of modern office practices, procedures and equipment. *Ability to maintain confidentiality and exercise sound judgment in relation to all forms of communication, interpersonal relations, and problem solving. *Experience and proficiency in using the full Microsoft Office Suite, including Outlook and PowerPoint. Familiarity with social networking sites such as Facebook and Twitter, as well as platforms such as Doodle and Eventbrite is desirable.  *Knowledge of computer operating systems and ability to troubleshoot simple computer system problems is a plus.
