The Graduate Center (GC) benefits from highly ambitious and diverse students and alumni—who in turn teach hundreds of thousands of undergraduates every year. Through its public programs, the Graduate Center enhances New York City’s intellectual and cultural life.

The ASRC seeks an Administrative Coordinator who will serve as liaison between the ASRC Executive Director and Deputy Executive Director. The incumbent will also assist CUNY and ASRC staff with administrative matters. This position reports to the Dean for the Sciences and Research.

Duties include but are not limited to:

Assists in the management and tracking of Collaborative Institutional Training Initiative Program (CITI) trainings.

Assists the Director of Sponsored Programs Administration with employees appointed through the CUNY Research Foundation (RF) and communicates with the RF’s Office of Human Resources; processes new hire and rehire employee packets, submits I-9 and e-Verify documentation and assists with ePAF submission for employees on RF payroll; tracks time and leave requests for RF employees.

Assists with coordination of ASRC documentation management in compliance with institutional, state, federal and accrediting agency guidelines; conducts a weekly compliance check through the Visual Compliance database.

Establishes and maintains the appointment schedule and calendar for the Executive staff.

In collaboration with the Research Integrity Officer, designs, facilitates and tracks Responsible Conduct of Research training; works closely with CUNY Office of Research Compliance support staff; Export Control Officer; Conflict of Interest Officer; and Research Integrity Officer to ensure integrated compliance effort; updates and maintains the Research Compliance portion of the ASRC website;

Maintains office and committee policies and standard operating procedures, ensuring they are up to date and in compliance with institutional, state, federal and accrediting agency guidelines.

Manages ASRC Executive Office time and leave requests and calendar; receives all time and leave requests;

Manages the ASRC-Tower suites including scheduling and invoicing.

Responsible for p-card purchasing and reconciliation for administrative staff; maintains inventory and office supplies; anticipates office needs and places and expedites orders when necessary for Administrative Core, SPA, Budget, Communications and Marketing; distributes and stores supplies.

Reviews research compliance protocols for correlative activities, completeness and compliance with applicable guidelines and institutional policies, prior to review by applicable committees; conducts a weekly compliance check through the Visual Compliance database.

Updates office databases, lists, and files to ensure completeness and accuracy; maintains department archives and collections; updates and maintains information on departments’ websites and ASRC internal directory.

Performs other duties as assigned.

QUALIFICATIONS

Bachelor's Degree required.

May supervise office staff and student workers.
