EDUCATION/EXPERIENCE:

Required:

High school diploma or GED equivalent and completion of one year of college or business school with classes involving computer training and accounting/bookkeeping.

Preferred:

First Aid or CPR training is helpful.

Any other combination of related education, experience, and training.

JOB DESCRIPTION

Summary/Objective

Performs a variety of clerical and secretarial duties in support of the main office at the school. Is responsible for all duties related to attendance taking, reporting and the communication with students, staff and parents. Works closely with the Office Manager, other school staff on numerous functions or on an as needed basis. Other responsibilities include greeting public, answering the phones, handling discipline records, preparing student enrollment lists, student schedules and grade reports.

Possible Job Functions

• Gathers and compiles all daily attendance information.

• Informs parents of student absences.

• Communicates absences/truancies to school administrators.

• Maintains attendance record statistics.

• Assists with weekly and special event attendance incentives.

• Shares in answering of phone calls and delivering of messages.

• Assists with new student enrollment.

• Assists with grade reporting procedures (class rosters, bubble sheets, grade changes, grade card printing and grade card distribution).

• Assists with all office functions such as supplies, mail, and equipment problems.

• May oversee office leadership (student assistants).

• Provides attendance reports to coaches.

• Issues excused re-admittance and truancies; keeps files on all students' attendance status.

• Receives and records all telephone calls from parents regarding student absences.

• Works closely with building administration regarding all absences.

• Sets up phone master to contact parents regarding attendance.

• Operates answering machine.

• Assists in the student count audit each semester for the State of Colorado.

• Assists the Attendance Liaison.

• Provides attendance status for administrators and parents.

• Participates in weekly inter-office meetings.

• Writes attendance contracts as necessary.

• Works with confidential information.

• Responsible for the School Improvement Plan data.

• Serves on team for School Improvement Plan.

• Coordinates/maintains all after school detention notebooks for administrators.

• May assign and maintain records on lockers.

• May attend parent conferences to provide information on grade reports.

• Assists with the development and preparation of master schedule and student schedules.

• Performs other duties as assigned.

Ability to sit for long periods of time, numerous distractions, visual, auditory and ambulatory acuity important. Occasional lifting of up to 30 pounds

Additional Qualifications:

Applicant must have knowledge of Microsoft Word and general office procedures. Correct spelling, punctuation, and grammar. Ability to follow and understand oral and written instructions. Requires handling of repetitive tasks in an efficient manner while having no control over time or amount of work received. Ability to use good judgment and common sense. Ability to handle multiple tasks effectively and perform work with a high degree of accuracy, cross checking with other departments and school staff. Ability to serve the needs of students, parents, certified staff, office staff and administration. Excellent people skills, friendliness, patience, control, and empathy. Sound understanding of the total picture (numerous functions, legalistic responsibilities) of a public school. Good organization and time management skills. Proficient at computer data entry. Knowledge of Board policies, District procedures and federal/state laws which apply to the position. Ability to work with distractions and pay attention to detail.
