Profile

The Associate Director works directly the Director of Admissions and Advising to provide technical leadership in the administration of all aspects of technology in the Office of Admissions and Advising. The Associate Director assists the Associate Vice President of Enrollment Services and the Director of Admissions and Advising with developing the technology priorities for Admissions and Advising as these priorities align with the Enrollment Services priorities as well as providing input in strategic planning and budget development as related to technology priorities. Assist with the review and development of policies and procedures from a technical perspective for admissions and advising. Manages all major technology implementations and processes for the Office of Admissions and Advising, including implementations, updates, problem solving and troubleshooting, web management, training, and researching hardware and software purchases in consultation with the information technology division. Administers the implementation of a wide range of office software for data tracking and providing support to students for all kinds of admissions and advising services such as the student information system including communications management, degree audit, student planner, the client relationship management system (CRM), data reporting as well as additional systems. Provides leadership for all sorts of technology implementations including on-line advising and related protocols. Serves as the web site coordinator for admissions and advising pages of the college web site, working closely with all enrollment services office web coordinators. Develops, implements and manages the office's communications management and document imaging systems. Utilizes querying software to develop, implement and run the office’s numerous ongoing reports and research projects. Develops and implements group and individualized computer training and support programs for staff, including training on the student system (i.e., communications management; online report generation), the Internet, Microsoft Office, presentation software, Microsoft Outlook, digital imaging, online sign-in systems, database management, and other online systems and processes. Assists the director, associate and assistant directors, and office manager with the improvement and enhancement of various workflow processes through the use of technology. Develops implements and maintains unit technology staff development program. Provides the admissions and advising staff with training and web support as needed. Develops new technology applications for the unit, particularly related to admissions and advising processes. This position provides direct supervision of the office manager and information specialist team. This is a critical position to the Office of Admissions and Advising, a unit reliant upon technology processes and continued changes related to technology.
Requirements:
Formal Education, Courses, Training Programs, and Experience
Masters degree required and 1-3 years of technical experience related to enrollment services. Admissions, advising or related enrollment experience strongly preferred. Prior experience managing technology support of a large, multifunctional office. Prior experience developing and delivery technology training to users strongly preferred. Thorough knowledge of a student information system, CRM system, document imaging software and data information system required. Ellucian Colleague student system preferred, ImageNow software and electronic workflow as it relates in particular to admissions, advising, student planning and degree audit processes required. Outstanding technology skills of other applications required, including information management systems, web site development and editing, other Internet processes and applications communications management, Microsoft Office, Windows, desktop publishing, and databases and spreadsheets. Knowledge of querying programs required. Experience with staff training required.
Licensing or Certification Required
Certification in various computer applications strongly preferred, but not required.
Knowledge of Operations, Systems, and Procedures
Extensive knowledge required of the web and web applications, communications management, Microsoft Office, Windows, desktop publishing, presentation, graphics and animation software, databases and spreadsheets, Internet, Microsoft Outlook, MS Office, document imaging, voicemail, remote access, and other applications and systems. Extensive knowledge of Datatel’s Colleague student system, particularly as it relates to admissions, advising, degree audit and other related functions. Knowledge of querying programs required. Extensive knowledge of college policies, procedures and services. Knowledge regarding special admissions programs required. Basic knowledge of enrollment policies and procedures for special populations, such as students with disabilities, international students, and military personnel. Knowledge of federal and state privacy laws and college policies. Ongoing knowledge of technology innovations that may be applicable or implemented to the Enrollment Services environment.
